The Manage Contracts feature allows you to create, send, track, and manage contracts directly within Squava using our integrated eSignature partner.
This integration enables you to send legally binding contracts to clients and vendors, monitor their status in real time, and keep all contract activity centralized within your projects.
Step-by-Step Guide:
Access Contracts
To get started, navigate to Menu → Clients & Projects → Contracts.
This page provides a centralized list of all contracts created in Squava, including key details such as client/vendor, project, date sent, and status.
Connect or Sign Up for eSignature
Squava integrates with our trusted eSignature partner to handle document signing securely.
If this is your first time using Contracts, you will be prompted to connect your eSignature account when you click + New Contract.From there, you can:
- Create a new account with the eSignature provider
- Sign in with an existing account
You can also connect your account at any time by navigating to Menu → Company → Integrations and selecting the eSignature integration.
Once connected, you can begin sending contracts directly from Squava.
Create a New Contract:
To create a contract, click + New Contract.
You will be prompted to enter:
- Title — Name of the contract (required)
- Client — Associated client (optional)
- Project — Related project (optional)
- Vendor — Vendor if applicable (optional)
Only the Title field is required to create a contract. You can optionally associate it with a client, project, or vendor for better organization.
After creating the contract, you can send it through the eSignature integration for signing.
You can also create contracts directly from within a project, which will automatically associate the contract with that project.
Understand Contract Statuses:
Each contract includes a status to help you track progress through the signing process.- Draft — Contract has been created and exists in the eSignature system but has not yet been sent for signing
- Out for Signature — Contract has been sent and is awaiting one or more signatures
- Completed — Contract has been fully signed and executed
- Declined — A recipient declined to sign the contract, stopping the signing process
- Voided — The contract has been intentionally cancelled and is no longer valid
- Expired — The contract was not signed within the allowed time and is no longer active
- Failed Delivery — The contract could not be delivered to a recipient due to an email or delivery issue
- Deleted — The contract has been removed and is no longer active
- Waiting on Me — Action is required from you before the signing process can continue
These statuses give you full visibility into each contract’s lifecycle, helping you quickly understand progress, identify issues, and take action when needed.
Search and Filter Contracts:
The Contracts page includes built-in search and filtering tools to help you quickly find specific records.- Use the search bar to locate contracts by title, client, or project
- Click the filter icon to open advanced filtering options
You can filter contracts by:
- Date range (start and end date)
- Client or vendor
- Project
- Status
These tools help you quickly narrow down large contract lists to find exactly what you need.
Manage and Edit Contracts:
Each contract includes management options directly from the list view.
- Click Manage to open the contract in the eSignature platform, where you can handle document creation, sending, and signing workflows
- Use the Edit option to update contract details stored in Squava
- Use the Delete option to remove contracts that are no longer needed in Squava
From the Edit screen in Squava, you can:
- Update title, client, project, or vendor
- Save changes to keep your contract records organized
- Delete a contract to be removed from Squava contracts list (not deleted in eSignature platform)
To perform actions such as creating documents, sending contracts for signature, managing recipients, or moving the contract through the signing process, you will be taken to the eSignature provider’s platform.
This separation allows Squava to act as the system of record for your contracts, while the eSignature platform manages the full signing workflow.
Manage Contracts Within a Project:
In addition to the main Contracts page, Squava also allows you to manage contracts directly from within each project.To access this view, navigate to a project and scroll to the Contracts section in your project's Info tab.
This section displays all contracts associated with the selected project, along with their current status.
- View contracts tied specifically to the project
- See real-time status (Draft, Out for Signature, Completed)
- Quickly open contracts for management
- Click + Add New to create a contract directly from the project
Creating a contract from within a project will automatically associate it with that project, saving you time.
This view is especially useful for project managers who want to track contract progress without leaving the project workspace.
