When creating your initial budget for a project, there may be times when you may need to modify it after your budget has already been contracted. This help article will walk you through the steps of creating a Budget Modification. Check out the steps below to get started.
Step-by-Step Guide:
Access Project Budget
If you need to modify your budget after it has already been contracted, access the project budget page.
Select Modify Budget
On the Budget page, click on the 'Modify Budget' button located on the top right side. This can be done from the 'Budget Summary' tab or from the original budget. In this example, we'll modify our budget from the original budget. A new window will open up for you to enter some basic details about your modification. Be sure to click 'Save' when finished.
The name for your modification is pre-filled for you (example: 'Mod 1'), but you can rename it if you would like.
Enter Budget Modification Details and Save
Once you've done that, you can now add the budget details for your modification. You will see your original labor task and direct expense names from your original budget. There are now new fields for you to fill in the budget details for your labor tasks and/or direct expenses. Be sure to click 'Save' when finished.
⚠️ Important: Click the green 'Contract Budget' button whenever your modification budget is ready to contract, just as you did with your original budget.
Viewing New Budget Modification
If you click on the 'Budget Summary' tab from your opened project, you will be able to see your original budget and the new modification you just applied.
⚠️ Important: If you would like to see the details of each budget (original and/or any additional modifications), click on the desired budget in the 'Contract' column.
Troubleshooting: Labor is not included in the billable budgetIf labor or the remaining project amount appears incorrect, check whether the affected task was accidentally set to Non-Billable before creating a budget modification.
To change the task’s billable status:
Open the project and go to the Management page.
Locate the affected task.
Open the task’s Detail menu.
Select Change Billable Status.
Change the status to Billable.
Click Save.
SQUAVA will update the task’s billable status and recalculate the project budget to include the task as billable.
⚠️ Important: Changing the billable status corrects the task setup. It is different from creating a budget modification. Review the project totals after saving before making additional budget or invoice adjustments.
